How can an Elopement Wedding Coordinator Help Me Plan My Wedding Day?
We don't just show up on the day of your elopement & "wing it". Our Elopement Coordinators are also Certified Elopement Specialists. We ensure that everybody provides the services you contract, and arrives at your selected location, ready to provide outstanding services to you on your wedding day.
Our Elopement Coordinators act as liaison between you and your Elopement Vendors to ensure a stress-free wedding planning experience. Securing & organizing several different wedding service providers can become stressful for couples planning a wedding, even an intimate elopement. Our goal is to eliminate the stress of planning your wedding day, therefore we include Vendor Coordination services in every package.
We coordinate several different planning & management aspects when organizing your wedding day:
VENDOR PLANNING/COORDINATION: • Contracting of your wedding professionals, including confirming your vendors are informed of your desires regarding their services. • Handling all vendor payments. • Communication with your vendors to ensure that everyone is in agreement of the services being provided. • Coordination of wedding location and time for everyone involved in your wedding. • Placing orders, receiving & coordinating delivery of wedding items (flowers, cake, etc.) • Placing orders & shopping in person (including driving time & standing in line). • Ensuring return of rental equipment, including return in person if necessary. • Communicating any concerns, questions or changes to your wedding vendors in a timely manner. • Serving as a local information & referral resource for you. • Mediate communication between your wedding vendors. • Confirming location, time & final details on the day of your wedding with your vendors, to verify everyone will arrive as scheduled. • Providing you with a detailed list of elopement venue options that includes permit information & pricing (if applicable). • Coordinate deliveries & set-ups with venue & vendors.
CEREMONY COORDINATION: • Liaison with venue staff, photographer, videographer, musicians, soloists & ceremony participants upon arrival regarding specific duties. • Coordinates with program/guest book/gift attendants upon arrival regarding duties. • Coordinates with groomsmen & ushers regarding proper etiquette for guest seating and pre-seating of family and guests. • Cues pre-ceremony music • Gathers & lines up all family & wedding party attendants for formal processional of ceremony. • Ensures that attendants have rings. • Cues musicians & participants for family seating & wedding party processional music.
RECEPTION COORDINATION: (if included in selected package) • On site event management & coordination of reception with couple, wedding party, guests and vendors. • Supervise that all flowers, decorations & equipment are placed according to couples specifications for the reception. • Organize and set up any photos, toasting flutes, cake cutting items, guest book & pen at reception. • Coordinate entertainment and all announcements/events during reception such as cake cutting, grand entrance, first dance, toasts, bouquet toss, etc. to ensure that all occur according to schedule and that photographer & videographer are on hand to capture. • Assist with bride & groom getaway at end of reception including distributing tossing items and line up of guests.
After Reception Services: • Prepare cake for couple to take from reception, if desired. • Prepare, pack and load an evening meal for the couple in the limousine or departure vehicle. • Load gifts and keepsakes at end of reception into designated car. • Coordinate with vendors to make sure that they clean up & remove their equipment & supplies after event.

To help the planning process proceed flawlessly, we include our elopement planning & coordination in all packages. The coordination services included in our elopement packages are designed to coordinate the package ingredients only and will vary depending on the package. Some couples choose to add extra coordination time if there are additional services they'd like us to handle, or if they’ve hired outside vendors themselves. We’re always happy to discuss customization of coordination services.
