You can't touch and hold it before making the investment in a planning package which can be very daunting, confusing and can make for a nerve wracking selection process when searching for the right planner or coordinator. In order to ease the stress of deciding what planning direction is best for you, we’ve designed several Planning & Coordination Packages to help give you the confidence and freedom to to choose the package that best fits your needs.
"DAY OF" COORDINATION $1500.00 For the couple who have planned their wedding, but only require a professional to manage & coordinate the Wedding Day. Many brides are choosing to hire planners as Day of Coordinators to ensure that their vision and their vendors are professionally managed, enabling them to have a completely stress free day. Day of Coordination is perhaps the most undervalued product in the bridal industry. You've got a lot on the line here. You've invested not only your life savings in your other vendors but also your time, energy and not to mention it's the most important day of your life thus far.
BE believes that Day of Coordination begins much sooner than the week of the event. We begin the process as soon as soon a contract is signed and BE plays an integral role in the design of the timeline, the schematics, vendor confirmations and then finally well informed and flawless execution on the of your wedding.
Preparation: * Initial 1 hr. in-person consultation to discuss planning & coordination. * Contact venue(s) to discuss wedding details & review all contracts, diagrams & outlines. * Contact vendors to confirm & discuss wedding details & review all contracts, diagrams & outlines. * 1 hr. Walk through of venue(s) with couple to discuss ceremony outline & decor placement. * 1 hr. In-Person progress meeting.
Wedding Day Coordination: (Ceremony & Reception) * Two coordinators on site for event management & coordination up to eight (8) hours. * Organize, distribute & pin all flowers for wedding party, family members & special guests. * On site event management & coordination of ceremony with couple, officiate, wedding party, venue and vendors. Includes supervising venue decor placement & set-up. * Line up of wedding party for processional. * On site event management & coordination of reception with couple, wedding party, venue and vendors. Includes supervising venue decor placement & set-up. * Coordinate deliveries & set-ups with venue(s) & vendors. * Supervise that all flowers, decor & equipment are placed according to couples specifications for the ceremony and the reception. * Supply “Day Of” emergency kit. * Wedding day gown bustle service. * Alphabetize and place all programs, seating cards, escort cards, table numbers and menus. * Organize and set up photos, toasting flutes, cake cutting items, guest book & pen at ceremony and reception. * Set up of guest favors and arrange them at reception as requested. * Create a diagram/layout/floor plan of the ceremony & reception sites including seating charts. * Greet guests upon arrival and assist with seating directions. * Coordinate entertainment and all announcements/events during reception such as cake cutting, grand entrance, first dance, toasts, bouquet toss, etc. to ensure that all occur according to schedule and that photographer & videographer are on hand to capture. * Distribute tips to vendors on wedding day if applicable. * Assist with bride & groom grand exit at end of night including distributing tossing items and line up of guests. * On going consultation & advice including etiquette when requested. * Be prepared to meet any emergency situation that may arise so that you can enjoy your day stress free!
After Ceremony Activities: * Prepare cake for couple to take from reception, if desired. * Prepare, pack and load an evening meal for the couple in the limousine or departure vehicle. * Load gifts and couples keepsakes at end of reception into designated car. * Supervise cleanup of venue. *if cleanup time runs over allotted hours overtime fees may be due.
Rehearsal Services: * 1-hour On-site event management & coordination of rehearsal with couple, officiate & wedding party.
Time Management to Include: * Establish, provide & review an event timeline for all vendors. * Create a timeline of events for couple, wedding party, etc. * Prepare a timeline of events for the rehearsal, ceremony and reception. * Coordinate entertainment and all announcements/events during reception such as cake cutting, grand entrance, first dance, toasts, bouquet toss, etc. to ensure that all occur according to schedule and that photographer & videographer are on hand to capture. * Develop & maintain a wedding day itinerary for the couple, wedding party and vendors.
Day-Of Coordination package does not include: (we are happy to quote for these additional services) Lifting or carrying of venue or vendor’s equipment. Venue cleanup services after event. Placement of linens or chair sashes. Returning of equipment or decor after event. Decorating of venue(s). Vendor contract negotiations, service planning or vendor meetings.
VENUE SCOUTING & PROCUREMENT PACKAGE $550 Researching and selecting the right wedding venue can be difficult. Add our Venue Scouting & Procurement Package to any of our wedding packages and let us take some of that planning stress off of you when it comes to finding the right wedding venue.
This wedding package includes the following services: (In addition to providing you with our Location Report) * Wedding venue search and recommendations — We will help find the perfect venue for you! We will provide the top three (3) venues based on your wants, needs and budget. - If you need a particular type of venue — We will do the research and find it for you based on your needs. - We'll gather and provide all the important information about that venue to you to help you make the right decision to hire. * After gathering the important information during the first meeting, BE will be responsible for providing you three (3) options for all venues. BE will already have contacted each venue, ensured availability and when possible, received a quote that is particular to your event. Once a venue is selected, we will then lead you through the contract process, from overseeing contract and proposal edits through to counter execution. * Visit and tour each site, meet with the venue manager and get information packets for your review. Guest capacity, catering options, ceremony location and hotels near by are discussed during our meeting. * Set up a viewing appointment with the venue you are interested in thereby allowing you to sit face to face with the venue manager and go over contract options.
This package DOES NOT include obtaining the permit (if applicable) for your selected venue.
VENDOR SOURCING & PROCUREMENT PACKAGE $550 Perhaps you've already found the perfect Wedding Venue, florist and photographer and now you just need the finishing touches. Or perhaps you're starting from scratch and need someone there to help you find the perfect combination of vendors that's right for the wedding you're dreaming of.
Hiring the perfect vendor is not as easy as it seems. With such a saturated market, you could lose days of your life combing through google search after google search trying to differentiate between so many vendors. When you add vendor sourcing to your package, you're not only saving yourself the stress and time - you are also dipping into our files of tried and trusted wedding professionals.
Wedding Vendor Services Research and Recommendations — Let us help you hire the perfect wedding vendor for your big day. We have a large database of amazing vendors we have worked with and recommend. - If you need a particular type of vendor — We will do the research and find them for you based on your needs. - We'll gather and provide all the important information about that vendor to you to help you make the right decision to hire.

TIMELINE MAGIC $250 Ok, so if your your photographer needs 3 minutes per photo and the hotel is 18 minutes away from the ceremony venue, which is 7 miles from the hair salon, and the wedding starts at 4:00pm, what time should you schedule your makeup appointment for? If questions like this one are making you reach for the whiskey, hang tight, I got you! Let’s do some timeline magic. You provide all the tiny details about your wedding day, I ask you some more questions that you probably didn’t know you needed to ask, we’ll do all the backwards calculating, google mapping, and adding buffer time as needed so your day can run smoothly and without unnecessary rushing around. Then we’ll make you beautiful documents that you can reference, give to your wedding party, and share with your vendors.

COORDINATION ORGANIZATION PACKAGE $475 Stressing out about finalizing all the details? No room in your budget for a professional coordinator? Don’t worry, I’ve got you covered! You’ll send me all your plans, contracts, and schedules, which I’ll review before we meet. Then we’ll connect via phone or video chat so I can walk you through my detailed pre-wedding checklist. We’ll go over all the details of your wedding with a specific focus on highlighting areas in your intended plans where extra time or help may be needed and identifying details which may have been overlooked.
After our meeting, I’ll prepare (with your input) a set of organizational documents for your wedding, including a detailed timelines, setup and breakdown plans for your team of volunteers, photo shot lists, contact sheets for vendors & VIPs, ceremony order, rehearsal order, packing lists, and final payment deadlines.
Follow up support, by phone and email, is included for 30 days after our meeting to answer any last-minute questions you have and help prevent unnecessary panic.
